Project Lab: Install OneNote to Organize Your Project

 

Note: You will need headphones for this lab.

 

  1. Create a shared folder on your computer to share with your team. See me if you think you need me to create the share..it’s no biggie.
  2. Unfreeze your computer if it is frozen (see a second year for help).
  3. Log in as a temporary administrator.
  4. Open the run command and type \\csn\pub\software
  5. Find the folder named OneNote2007 and double click setup.
  6. See me for the product key or just install, you can enter the product key later.
  7. Go to www.microsof.com/en-us/training/CR102641231033.aspx and do the Getting to Know OneNote training.
  8. Put on your headphones! Listen and learn! Everyone in the team do this.
  9. Once your share is created, the team lead will create a new notebook in OneNote FileàNew Notebook (duh). Name it A+ Essential Study Notebook. Everyone else watch…listen…learn.
  10. Use the Shared Notebook—Group Project
  11. Multiple people will use it.
  12. Save it in your share. (Ignore it when it says you need to create a profile. We can’t use Outlook here.)
  13. You’ll see a notebook with a lot of tabs. Rename your tabs:
    1. Right click on tabàRenameàtype in new name
    2. Create/rename the following tabs

                                                           iv.      Current Needs

                                                             v.      Future Needs

                                                           vi.      Diagram

  1. Delete the stuff in the notebook template. Click on the top and hit the delete key on your keyboard.
  2. Go to Team Information and change the table to look like this

  1. To insert a new column click on a table column, TableàInsertàColumn to the (left/right).

 

 

Now, each of you open this notebook.

  1. Open OneNote
  2. FileàOpenàOpen Notebook
  3. Navigate to where your team lead saved the notebook.
  4. Open it.
  5. Everyone: Go to the Team Information page and input your information.
  6. Go under FileàSyncàSync All Notebooks Now
  7. Oooooohhhhhh….ahhhhhh. You can all work on your section at one time without waiting for the other person to do THEIR section!

 

Split up the following tasks among you:

 

Task One: Assigned to ____________________________

  1. Click on Customer Overview. At the top where it says “Use this notebook…blah blah” type: Public School Nine.
  2. Underneath that type By Your Name
  3. Type a description of who your customer is. Use the following leading sentences to guide your overview:
    1. The customer is…(describe the customer)
    2. They currently have…(what kind of technology)
    3. They use the technology to…(how do they use it)
    4. They need…(short description of needs)
    5. We will…(describe what you will do for them)
  4. If you I were your customer who needed “Condiment Delivery System” upgrade, the overview might read something like this:
    1. The customer is a small restaurant who would like to upgrade their image. They are currently a very casual place with 10 tables covered in paper. They serve on paper plates.
    2. They currently have 10 tables and use paper and plastic service with napkin dispensers on the table.
    3. They use the technology to dispense ketchup and mustard using red and yellow squeeze bottles.
    4. They need to upgrade their condiment delivery system.
    5. We will provide upgrades to both the ketchup and mustard delivery systems. We will also provide on-site support for one year. During our research, we will determine the benefit of also adding other condiments such as pickle relish (sweet or dill…an important determination), mayonnaise, etc.

 

  1. You would type a lot more than this, but start with a very simple description of your customer

 

Task Two: Assigned to ____________________________

  1. Click on the Jargon tab.
  2. Rename About this Section to Project Jargon.
  3. Underneath that, type “By your name.”
  4. Look at your project, what terms do you need to define.
  5. InsertàTable. Create a 2x2 table with the headings Word and Definition.
  6. Click and drag to expand the size of the table.
  7. Type the words you need to define and define them in your OWN WORDS.
  8. Example: RAM: The temporary storage area of the computer. When you turn off the computer, the data goes away. Programs use RAM to store things they are working.
  9. Note that the definition is SIMPLE, not technological at all. You want to define it so that your grandma understands it.

 

Task Three: Assigned to ____________________________

  1. Go to the Current Needs section. Replace “About…” with “Public School Nine Current Needs”
  2. Underneath that, type “By your name.”
  3. Look at your project, what needs does the customer have? Oh wait! There isn’t very much information there, is there? Click on the section that says “Questions for Customer” and type out some questions you need to get answered.
  4. Go back to Current Needs. Note there are three pages.
    1. Click Goals. What goals does the customer have? Just type out something simple.
    2. Click Schedule. Rename that to How We’ll Meet the Needs
  5. As you determine the needs put them in both places. Work TOGETHER to determine how to meet the needs. That will go into the proposal.
  6. Example:
    1. Current Needs

                                                              i.      Ketchup on her burger

    1. How We’ll Meet the Needs

                                                              i.      Ketchup:

1.      Buy ketchup packets ($.02 each)

2.      Train users how to utilize ketchup packets

3.      Provide receptacle for proper ketchup packet disposal

4.      Review ketchup packet use at November meeting.

 

Task Four: Assigned to ____________________________

  1. Go to the Future Needs section. Replace “About…” with “Public School Nine Future Needs”
  2. Underneath that, type “By your name.”
  3. Look at your project, what needs does the customer have? Oh wait! There isn’t very much information there, is there? Click on the section that says “Questions for Customer” and type out some questions you need to get answered.
  4. Go back to Current Needs. Note there are three pages.
    1. Create a new page for this section and name it Goals.
    2. Create another new page and name it:.How We’ll Meet the Needs
  1. As you determine the needs put them in both places. Work TOGETHER to determine how to meet the needs. That will go into the proposal.
  2. Example:
    1. Future Needs

                                                              i.      Upgrade yellow mustard

    1. How We’ll Meet the Needs

                                                              i.      Mustard:

1.      Customer currently uses yellow mustard but would like to upgrade to Dijon by November 2010.

2.      Price out Dijon mustard packets

3.      Discuss whether client wants Grey Poupon or another brand.

4.      Present the merits of packets vs jars.

5.      Upgrade current yellow mustard squeeze bottles with fancy jars

a.      Plastic or glass?

b.     Remove bottles and replace with packets?

 

Now you’re ready to start working on the actual project.

  1. Email your questions to the customer.
  2. Update the needs. (You are graded on whether you determine the needs appropriately or not.)
  3. Research all the options to meet their needs.
  4. Diagram out your solutions. For example, if you’re upgrading the mustard squeeze bottles with packets of Grey Poupon, you need to provide pictures.
  5. Price out the solution. Remember multiples! If the new ketchup packets cost $.02 a piece the total budget is not going to be two cents! You’re going to be buying more than one, right? So if the customer needs 30 computers upgraded and that means 30 sticks of RAM, make sure it says 30!
  6. Type up a written proposal that outlines. Under the proposal section, you should have the following pages. Each one should be in paragraph format and use the information from the other pages.
    1. Project Overview

                                                              i.      Description of what you’re supposed to do.

    1. Needs

                                                              i.      Current and future needs listed out

    1. Proposal to meet needs

                                                              i.      List each need and type a paragraph about how you will fulfill the need.

    1. Diagram and pricing

                                                              i.      Put your picture here!

                                                            ii.      Include your Excel spreadsheet of prices (create it in Excel and copy and past it here)

    1. Resources

                                                              i.      Where you got your information.

                                                            ii.      Example:

1.      Find a website (such as newegg) that has the product you want to buy.

2.      Click on the resources page

3.      Click the “clip” button

4.      The screen will go back to the Newegg page. Click and drag around what you want to buy.

5.      Note it will say when and where the item is.

6.      Alternatively you can copy something from a website, paste it and it will keep the formatting AND include the URL of the site you copied from.

 

We’ll do all organization of projects in OneNote. However, if your project requires a PowerPoint or some other interactive item (sometimes it does), you will use that as well.

 

The team lead is responsible to ensure all sections are completely finished. Remember, no incomplete work is accepted in this course!
